The Situation

An operations manager at a regional HVAC company was responsible for sourcing and ordering parts across five different vendors: everything from compressors and coils to filters and fittings. The company had a legacy inventory system, but it was poorly maintained — essentially a dumping ground of part data with no practical workflow built around it. It couldn’t be removed because it was used company-wide, but it also couldn’t do what this manager actually needed.

The day-to-day reality: open five vendor websites, search each one individually, cross-reference part numbers manually, compare pricing, and then place the order. For 300+ active parts across five catalogs, this was a massive time sink — and a source of ordering mistakes when the wrong vendor part number got copied over.

What We Built

We started by sitting down with the end user to understand exactly how he worked: which vendors he used, what he was looking for, where the friction was, and what an ideal workflow would look like.

From there, we:

  • Mapped the entire parts catalog: Imported 300+ items from the legacy system and organized them into 26 categories
  • Cross-referenced every vendor: Each part is linked to up to five vendors with their specific part numbers, current pricing, and direct URLs to the product page
  • Built instant search and filtering: Fuzzy search lets the user find any part in seconds, with filters by category, vendor, and status
  • Added one-click ordering: Every vendor part number links directly to the product page — no more searching vendor sites manually
  • Included price tracking: Bulk pricing tiers and price dates are tracked so the user always knows what he’s paying and when it was last updated
  • Deployed with secure access: Hosted on Cloudflare Pages with authentication so only authorized users can access the tool

The Outcome

The manager went from spending hours each week bouncing between vendor websites to having everything in one place. Search a part, see every vendor option, click to order. That’s it.

Time savings were immediate: an estimated 2-4 hours per week reclaimed, depending on order volume. But the bigger win was the reduction in friction and mental overhead. No more second-guessing whether he had the right part number. No more forgetting which vendor had the better price. The tool became the single source of truth for the entire parts operation.

The system required zero training. The user adopted it on day one and has been using it daily since launch. Plans are already underway to extend it into a full inventory tracking and year-end management tool.
